An internal system fixes that by making the workflow explicit: leads move through defined stages, quotations become orders, orders become invoices, and every transition is recorded with who did it and when.
I have built this for a UAE furniture and curtains business — leads, quotations, orders, invoicing, inventory and follow-ups in one place, in English and Arabic. Invoice numbers are generated inside a database transaction so they are gapless even when two staff members create one at the same second, which is the kind of detail that only shows up as a problem during an audit.
